EXTRA GAMES COMMITTEE REPORT – Rich Morgan
Committee Members: Tom Thomas, Amy Lang, Rich Morgan
Committee formed at last meeting to find ways to schedule more games during regular season.
Limitations include field and referee issues as well as travel distance on weekdays for FTC, COS, Pueblo
Will schedule 10 games for 6/7/8 Grades using double headers. Double headers to be scheduled during latter part of season.
Also create a clearinghouse for clubs that have fields available during the week to schedule additional games. Use the website instead of using scheduling system.
Mini tournaments to be scheduled at locations with at least two fields available. Mini tournaments will be round robin format with no “tourney winner”
Scheduler to set mini tournaments based on input from clubs that have  fields available
Question regarding games the last weekend in March – Games can be coordinated between teams using the website.
 
SCHEDULING SOFTWARE
Research into scheduling software the result of current cost for MyLacrosseLeague.com ($18 per team)
Reviewed 4 different programs:
·         Quickscores – Nice program, good for parks and rec programs with fixed fields. Not good for home and away games.
·         Diamond Scheduler – Issues with scheduling for travelling teams
·         Demosphere – Strongest program reviewed. Provides scheduling for travelling teams. Individual teams can indicate availability. Fields are connected to teams and organizations. Allows for Coaches with 2-3 teams and prevents scheduling conflicts. Allows Doubleheaders. Web based system. Email component available. Cost - $500 one time, $7.50 per team. Can add Ref assignment module for additional $2/team. 25% discount if ordered by Jan 1. Ref option includes report back by refs. Regional assigning capability. 
·         Super Scheduler – PC based system. Issues with uploading data. Single computer installation creates risk for crashes and system backup issues.

 
Question – Why do we need another scheduling program? Response: Several clubs voiced concerns about cost of MyLacrosseLeague. Newer systems have different features, more functionality.
Motion – Pending results of due diligence on Demosphere system, recommend that the league proceed with implementing Demosphere system. Rich Morgan to report back on results of due diligence. Members authorize board to approve implementation based on positive results. (Connors)

Question regarding negative results of due diligence.  Response: Recommendation will be reviewed by Executive Board. If results are negative, decision can me made via email vote or at next meeting in January.
 
UPDATE ON PCA CLINIC
CLF, CYLA, CGLA submitted grant proposal for PCA – approved
Grant will pay for trainer to come to Denver and 100 workbooks
3 workshops on Sunday March 8, 2009 at Pepsi Center (unconfirmed):
·         11am – 1pm    Leadership Clinic for Club Administrators and Board Members (up to 100)
·         1:30pm – 3:30pm   Coaches (up to 200)
·         4pm – 6pm     Parent Clinic (unlimited)
Leadership attendees MUST be USL registered
There is an online component for those that can’t attend

LEVEL 1 TRAINING CLINICS
Had to apply last April to schedule clinic
As a result, this year recommendation that all coaches have at least Level 1 Online training.
To be voted on, Jan meeting?
Highly recommend PCA attendance in addition to online training.
CYLA to consider cost subsidy due to lateness of recommendation and clubs budgeting schedules
 
REFEREE COMMITTEE REPORT
Referee Committee formed to look at more efficient and better way of providing referees to as many as 300 teams with ideally 2 refs per game.
Committee looked at the whole referee process to identify improvements
Committee members included Mike Stears, Chris Clark, Rob Gormley, Rhonda Cisneros, Steve Govett, Lloyd Cisneros, Ray Cisneros
Details of findings are still in development and will be published prior to Jan meeting.
League will need to vote on changes.
5 areas were identified – Brief Summary:
           
·         Recruitment - Basic premise for each club to provide 1 referee recruit for each team they field.
·         Training – Two 3hr classroom sessions conducted on regional basis followed by 1-2 day field training and testing session at INVESCO. Discussion regarding training opportunities for new referees, i.e. scrimmages etc. Suggestion to use videos on website for house rule examples
 
·         Compensation – Want to remove on-the-field payment. Will require computerized system. Discussion on systems and procedures for centralized referee payment. Clubs would pay referee fees as part of team fee.
·         Assignment – To be done manually or using software program?
·         Governance – Anticipate creating a lead official and official scheduling administrator that report to Executive Committee

Feb 6 – Team eval forms to Competition Committee
Feb 9 – Comp committee sets divisions
Feb 11 – Division info sent back to Club Admins
Feb 13 – Response from Admins
Feb 23 – Prelim schedule to Admins only
Feb 26 – changes from admins
Mar 1 – Schedule Posted
Critical to have White and Red information for this schedule. Late teams should be Blue division.
If there are Team specific schedule issues and information, include on Team Eval forms

League Athletics has agreed to provide a free website page for all teams at no charge for first year. They will also offer discounts for club referrals.
